iCloud sync, backup, and restore
iCloud sync
If your iPhone, iPad, or Mac is signed in to iCloud, your data automatically syncs through Apple’s CloudKit to the private database of your Apple Account, so you can use it on your other devices. We can’t access your iCloud data.
8.0 uses a new way to sync through iCloud that doesn’t connect with 7.0: devices on the same Apple Account sync with each other only after they’re all updated to 8.0, and devices still on 7.0 sync only with other 7.0 devices. Please update all your devices together. Each device keeps its existing data when it updates.
If you don’t want your data to sync, turn off iCloud Sync in the app’s Settings, or go to Settings > [your name] > iCloud on your device and turn off iCloud for FleetDispatch. Android doesn’t use iCloud (see “Android” below).
Automatic backups
The app automatically creates one backup a day and keeps the 7 most recent. In Backup & Restore, you can turn Auto Backup on or off, see when the last backup was made, or tap Backup Now.
- iPhone, iPad, and Mac: Backups are stored in your iCloud Drive (in space dedicated to the app, where 7.0’s automatic backups are also kept) and encrypted with a key in your iCloud Keychain, so any device signed in to the same Apple Account can restore them. If iCloud Drive isn’t available, backups are saved on this device for now.
- Android: Backups are stored on this device and encrypted with this device’s key, so they can be restored only on this device.
Create and export backups
- Open Backup & Restore and tap Export Backup. You can turn on Password protected and set a password (at least 8 characters).
- Full backup files are encrypted with AES-256-GCM, and you can share them or save them to a location you choose.
To move data between Android and iPhone, iPad, or Mac, set a password: a backup without a password is encrypted with the device’s key, which the other platform can’t unlock. Backup files work across 8.0 and 7.0, so a backup exported from either version can be restored in the other.
In multi-user setups, only admins can import data and create backups.
Restore
Before you restore, the backup’s contents are shown first. When restoring, you can choose:
- Merge: Keep your current data and add the backup’s contents. When the same record is in both, the one modified most recently is kept.
- Replace: Delete your current data and replace it with the backup’s contents. The change syncs to your other devices, and replacing all data requires a second confirmation.
Moving to a new phone
- Between Apple devices: Sign in with the same Apple Account and turn on iCloud, and your data syncs automatically. Both the old and the new device need to run 8.0 to sync with each other. If your other devices haven’t been updated yet, choose Have a backup? Restore from Backup during onboarding on the new device, then restore from an automatic backup in iCloud Drive or choose an encrypted backup file.
- Moving to a new Android phone, or between Apple and Android: On the old device, export a backup file with a password and move it to the new device. Then, in Backup & Restore, tap Choose Backup File… and enter the same password to restore it.
Android
- The Android version doesn’t use iCloud; data is stored on the device.
- A password-encrypted backup file can be restored on another Android device, or in FleetDispatch on iPhone, iPad, or Mac.
- If you turn on Android’s backup feature on your device, the app’s data may be backed up to your Google Account through Android’s backup service and handled by Google according to its policies. Automatic backups encrypted with the device key don’t move over with the system backup, so use a password-protected backup file when you change phones.
