Maintenance, work orders, inspections, and parts

On a phone, open Maintenance, Work Orders, Inspections, and Parts from the links at the top of Fleet. On iPad, Mac, and Android tablets, open them from Fleet in the sidebar.

Maintenance and per-item maintenance

  • Create maintenance items for each vehicle (such as oil, tires, and brake pads), and set a mileage interval and a time interval (in months). You’re reminded at whichever comes first; a time interval of 0 means you’re reminded by mileage only.
  • The app estimates the next service date from recent average mileage.
  • When you add an item, you can use Quick Add to fill in common items with suggested intervals. Electric and hybrid vehicles use items suited to them instead, such as Battery service.
  • When you finish the maintenance, tap Perform Maintenance and enter the current odometer reading to record it.
  • Maintenance that comes due appears in the Reminder Center.

Work orders

  • Work orders have statuses such as Pending, In Progress, Awaiting Parts, Completed, and Canceled, and they can record labor costs and parts details.
  • When a work order is completed, the parts used are automatically deducted from inventory and a maintenance record is created.
  • Open work orders appear in the Vehicle Status Center and also on the Dispatch Timeline.

Inspections (DVIR)

  • Pre-trip and post-trip checklists. Each item can be marked Normal, Defect, or Inspection Exempt, with a severity level.
  • If any item is marked as a defect, the whole inspection fails.
  • You can create a work order directly from a defect found in an inspection.
  • Drivers can submit inspections, and admins can delete them.

Parts and inventory

  • Create part records with stock quantities and reorder thresholds.
  • When stock is at or below the threshold, the list flags the part with Reorder and sends an alert. A threshold of 0 means the part isn’t tracked.

Work orders, inspections, and parts can also be exported as CSV (see Reports and export).
