Multi-user sync
FleetDispatch offers two ways to sync, and you can use both at the same time:
| Method | When to use it |
|---|---|
| iCloud | Between Apple devices on the same Apple Account (for example, your own iPhone and Mac); devices sync with each other only after they’re all updated to 8.0. Android doesn’t use iCloud |
| Local network (multi-user) | Between devices that belong to different people: an iPad, Mac, or Android tablet in the office acts as the host, and other devices (including iPhones and Android phones) pair with it on the same local network. Apple and Android devices can work together in the same fleet |
You don’t need to set up a server, and your data doesn’t pass through our servers.
Set up the host and pair devices
- On the office iPad, Mac, or Android tablet, go to Settings › Usage Mode and choose Multi-user · Host (the first time you use the app, you can also choose Host during onboarding). Then, in Host Console, tap Start Service and then Generate Pairing PIN. Phones can’t act as the host.
- On other devices, choose Multi-user · Client and select the host in Pair with Host. Compare the security codes shown on both devices, and if they match, enter the 6-digit PIN shown on the host (the PIN is valid for 5 minutes).
- In Paired Devices on the host, set each device’s role. Drivers’ devices need to be linked to a driver.
All traffic is encrypted with TLS. After pairing, devices reconnect using a signed device key for verification. When an Android tablet acts as the host, the notification bar shows LAN Host Running, and the tablet keeps providing sync even when its screen is off.
Roles and permissions
| Role | Description |
|---|---|
| Admin | Can manage all data and devices. Only admins can import data, create backups, and clear OBD trouble codes |
| Driver | Receives only the trips of the driver the host has assigned to this device; can log dispatches and returns and submit trip requests |
| Viewer | Can view data but can’t see drivers’ phone numbers or license numbers; can’t export |
Newly paired or re-paired devices are set to Viewer by default, and an admin needs to change the role on the host. The host checks every change against the device’s role.
When a client is offline
If a client goes offline temporarily, its changes are saved on the device and sent automatically when it reconnects.
Mixing versions
Devices running 8.0, 7.0, and 6.0 can sync together over the same local network. When they connect, both sides confirm which features they support and automatically use a compatible method. We recommend upgrading the host first. iCloud sync, however, needs every device on the same Apple Account to be updated to 8.0 (see iCloud sync, backup, and restore).
When the host updates from 7.0 to 8.0, its pairing information comes along into 8.0. If a client says the host’s security code has changed (8.0 clients show Host certificate changed), first compare the new fingerprint shown on the client with Security code (anti-MITM) in Host Console on the host, and choose Trust New Fingerprint only if they match. If they don’t match, or you’re not sure, choose Disconnect and check with the host’s admin.
If sync doesn’t work, see Troubleshooting.
