Dispatch and return

Log each dispatch; on return, enter the end odometer and costs. Mileage and fuel efficiency are calculated automatically.

Dispatch

  1. On a phone, tap ⊕ Quick Actions in the middle of the tab bar → Dispatch. On iPad, Mac, and Android tablets, tap Dispatch at the top of the sidebar. Then choose a vehicle and driver.
  2. Start Odometer is filled in from that vehicle’s odometer reading at its last return.
  3. Enter the origin, the destinations (you can add several, in arrival order), and the purpose, then tap Dispatch.
  • If the vehicle is already out or the time slot overlaps another booking, you’re warned before dispatching, so the same vehicle isn’t dispatched twice. In multi-user setups, only an admin can confirm and dispatch anyway.
  • If the start odometer is lower than this vehicle’s reading at its last return, the app asks you to confirm.
  • On iPhone, iPad, and Android devices, you can turn on Record this trip’s route to record location during the trip. Recording stops automatically when you return (see Privacy and security settings).

During a trip, the plate, the trip timer, and a Return button stay pinned at the bottom of the screen.

Return

  1. Tap Return, then enter End Odometer, the destination, and the fuel amount and costs.
  2. The app calculates the trip distance automatically.
  3. End Odometer and at least one destination are required, and you can tap Complete Return once they’re filled in. If the end odometer is less than the start odometer, or the trip is longer than 1,000 km, a note appears next to the field, and you’re asked to confirm once more before the return is submitted.

Refueling (fuel type, fuel amount, and fuel cost), tolls, and parking fees are all logged with the trip, and they’re reflected in the dashboard and reports. For electric and hybrid vehicles, you can turn on Battery was swapped during this trip.

Route map and navigation

  • Trip details show the route on a map, with Route Playback (1×, 4×, 16×, 64×). The maps are OpenStreetMap maps from OpenFreeMap, labeled “© OpenMapTiles © OpenStreetMap” on the map.
  • Loading maps needs an internet connection. If a map can’t load, you can still see the route and markers (see Troubleshooting).
  • Tap Navigate to… to hand the destination to a maps app: on Apple devices, you can choose Apple Maps or Google Maps; on Android, Google Maps opens.

Other ways to return

These options are available only on Apple devices:

  • Siri: When only one trip is in progress, say “End trip” to Siri to open the return form directly. If several trips are in progress, the Operations list opens so you can choose one.
  • Live Activities and the Dynamic Island: Tap the Return button to open the return form (see Widgets and Live Activities).
  • Apple Watch: Dispatch and return quickly; your iPhone carries out the action (see watchOS).
  • CarPlay: Dispatch quickly from the car. For the return, enter the end odometer and costs on iPhone after you park (see CarPlay).

On Android, use the ongoing trip notification instead: during a trip, the notification bar keeps showing the vehicle’s plate and elapsed time, and tapping Return opens the return form for that trip (see Widgets and Live Activities).

Trip requests and approvals

In multi-user setups, drivers can submit requests from Trip Request on a client, and an admin on the host approves or rejects them in the Approval Queue. Approving a request creates the trip directly, and the result is sent as a notification across devices. Requests pending approval also appear in the Reminder Center.
